Creating a New Assignment
Complete the following steps to create a new assignment.
To create an assignment:
1. Do one of the following to open the New Assignment window:
Click the Add button in the Collaborate header and select Assignment from the Add menu.
If you click the Add button while viewing the Planner panel, the assignment is associated with the Assignment Landing Zone by default. If you click the button while inside a topic or if you select a topic in the Planner Sidebar before clicking the button, the current topic is used as the default.
From Week view within the Planner Explorer, hover your cursor over the day of the week header and click the Add Assignment button.
From within a topic, click the Add Assignment button to create your first assignment.
The right side of the window includes a vertical scroll bar that you can use to view additional aspects of the New Assignment window.
2. (optional) Update the Status and / or Priority by selecting an option from the menu.
3. Enter a name for the assignment in the Assignment Title field.
You might consider keeping this value short so that the name is not truncated when displayed in other areas of the app — such as the Title column in the Planner Explorer.
4. (optional) Enter a Due Date for the assignment.
When you click this field, the app displays a calendar from which you can select the due by which the assignment must be complete. For more information, see
Working with Date Fields.
5. (optional) Enter text in the Info field.
This text is added to the Info / Description field in the assignment’s Info panel. If you add a large amount of text, the New Assignment window expands to display additional text and a scroll bar appears on the right-side of the window that allows you to access all areas of the New Assignment window.
If you add a large amount of text, a Less button appears below the Info field. You can click this button to shrink the size of the window. After clicking the Less button, you can click the More button to display the full text again.
6. Confirm or update the Topic for which this assignment should be associated.
If you created the assignment from outside of an existing topic, the assignment is associated with the Assignment Landing Zone by default.
If you created the assignment from within a topic, the assignment is associated with that topic automatically.
You can click the Topic menu to select an alternate topic. If you do not see your desired topic, you can use the search functionality in this menu to locate it.
If your topic does not yet exist, the menu offers you the option to create the topic now. If you select the Create New Topic option, the topic inherits any team members, resources, or other metadata that you have added to this assignment.
After you press Enter (or Return), a notification appears to confirm the creation of the topic. If desired, you can click on the notification to open the topic and abandon the assignment creation.
7. (optional) After you select a topic (other than the Assignment Landing Zone), you have the option of adding team members, resources, or other values to the assignment.
Click the Inherit All Topic Properties check box to populate this assignment with the values that are associated with the topic.
You can deselect any individual check box (Resources for example) to stop the assignment from inheriting those values, or you can deselect the Inherit check box to clear all inherited values.
If you associate the assignment with a different topic after selecting any of the inherit options, the inherited values are cleared from the assignment.
Click an individual check box next to one or more properties to populate the assignment with the information from the associated topic.
Click the Add button under any property to add team members, resources, or others.
If the associated topic includes one or more of these properties, the system displays a fast menu that includes these values. If you want to add a team member or resource that is not already associated with the topic, click the “Show all” link to display a complete list.
When adding a tag, a menu appears below the tag name as you type. If your text matches an existing tag, the menu displays a list of options that you can select. If you are entering a new tag, the menu informs you that this is a New Value.
8. Do one of the following:
Click the Create button to save the new assignment.
The Collaborate app displays a notification message upon creation. The message includes an Open link that allows you to access this assignment for further customization.
Click the Cancel button to close the New Assignment window without saving.
